AACII Meeting Agenda

Introductions and Roundtable Challenges:
- More collaboration from SPR working with Dept. of Architecture. Need better tools and software
- Careful to give the right information to OSP so there is no lag time but we are continually waiting for contract review and funding. Reporting tools are not user friendly.
- Coupa Buy2Pay is challenging. Invoices aren’t being paid on time (They should come back to group to address some of the same issues everyone is having).
- Communications not proactive from parking office.
- Third party vendor agreements are too large to share. Need document sharing to work on documents to be more efficient.
- Is there a way to create dashboard for Director/Dean level through Cognos or Tableau?
- OSP challenges managing research activity. We need to have the right tools finding goods and applicants.
- What to do about hard to fill financial assistant roles, etc.
- VPF vision
- Simplify processes, provide training, less JVs
- Enhancements coming for B2P and concur
- Semi-monthly payroll effective April 2018
- T-pass will come out of second paycheck
- HR simplified R&R Infinite Mile awards monies, eliminating a lot of JVs that happen at the end of closing.
- There are high administrative costs on processing awards. Award agencies are used but they are not always efficient.
- Space survey takes too much time to complete; should be able to pull the information from our systems.
- OSP understaffed and employees need more training.
- Under-recovery process is too manual
- PIs are looking for support
- Interim Admin salary increase process time consuming, need better reporting.
- Compensation guidelines not competitive with other organizations and departments within MIT.

Maria Barrios, MIT Health and Welfare Benefits Manager: Presented the HDHP benefit
· Open enrollment begins 10/16 – 10/27
o An extra week was added due to the addition of the new medical plan
o On Sept 26 an announcement will go out and the benefits website will have details of the HDHP
o A tool will be available to calculate costs
o If an employee enrolls they’ll receive an email and letter to their home to ensure they understand the plan.
