AACII Mtg Notes – September 22, 2016

  • Housekeeping
    • Mtg schedule updated – dates have been highlighted to note room changes
    • Attendance is strongly encouraged – let Pia or Lisa know if you are unable to attend
    • Note taker duties – no formal style/format, ideally send to group by 2 weeks after mtg

  • AACII Overview – the work of AACII is important in enhancing communication and working relationships with Administrators concerns.  We serve as the conduit with administration policies and process with other groups
  • Introductions
    • Lisa St Croix – Facilities, concerns with system integration, keeping master data clean (data is overwhelming)
    • Cindy Quense – Koch Institute, looking for input from group with training Faculty across MIT , and non Gov’t and UR resources
    • Robin Elices – Executive Vice President, listens to group, troubleshoots and how to solve problems
    • Dianna Hughes – IS&T, HR Project mgmt., Digital Communication
    • Peter Brenton – Nuclear Science & Engineering, concerns with complexity of systems and integration of systems (KC, SAP, HR, Concur, etc.)
    • Amberly Steward – Anthropology, concerns re: pre enrollment information, challenges for logistical planning for Dept Admins, Early Adopter of CART (Commit, Agree, Record, Track)
    • Lynn Hinds – VPR, main challenge is UR commitments (manual process), as Federal funding declines, people seek additional resources.  Also concerns re: reporting challenges, cost sharing process
    • Doreen Morris – Provost, listens to group, troubleshoots and how to solve problems
    • Chris Durham – VPF, HR Payroll Mgr (but also represents Procurement, AP, Travel, etc).  Under development – SANDI Report, Compliance issues, Buy to Pay already underway with Pilot
    • Sue Shansky – Resource Development, concerns with retention of young qualified staff, Compensation Structure project, educating Sr. Administration of process of fundraising
    • Sucharita Berger Ghosh – Mechanical Engineering, concerns raised re: students unionizing (per Dorren, already under discussion at MIT – risk may run with TAs (9 month vs 12 month), also challenged by retention of staff, compensation
    • Kim Mann – OSP/KC Support, underway OSP Post Award Tracking (tracking where an award is before it becomes active and available to DLC/PI), questions from group raised re: Quality of proposals and emails from OSP CAs to DLC, Kim will raise concerns in OSP for better communication to DLCs
    • Paula Samavaro – HR, great opportunity to be part of AACII and hear concerns and new projects underway from Administrators in the Community
    • Dave Bull – Division of Student Life, understanding how to work better with Facilities, work reqs and housing, benefit from learning more about systems integration
    • Lisa Thoma – Center for Real Estate, concerns about IPIAs and graduate students refusing to sign, PI status and Post Doc Associates
  • AACII Poster – for MIT’s Poster Session event
    • Poster feedback, Pia will email the group. 
    • Potential Topics – Financial Mgmt & Reports, Recruiting and Retention, Faculty Onboarding, Services for Student, MIT Work Life, Education & Digital Learning.  Have opportunity at Poster Event for Community to write suggestions for upcoming AACII AO Breakfast. 
    • Volunteers to stand by poster – Pia, Lisa, Chris
  • AO Breakfast – Possible dates?  February, March or April?  February is the start of the semester, and March is close to the AO/FO meeting, April seems to be a good month (not during April vacation week)
