AACII Meeting Minutes: 4/6/7

AO Networking Breakfast Discussion
Alyce Johnson, Manager of Staff Diversity and Inclusion, HR

  • A draft agenda for the breakfast was shared (see attachment). Some adjustments may be made since Anthony Sharon will give a short welcome, which Robin is assisting with.
  • The main topic is Unconscious Bias. Research in the area and framing of the topic will be done and then scenarios will be shared at the tables to allow for discussion and learning from each other.
  • Draft scenarios were shared (attached) and comments were gathered.

o Idea is to have specific tables assigned to one of each of the scenarios. o All scenarios will be shared so folks can follow along during feedback. o Multiple tables will have the same scenario but will be asked to report

back on just 1 question.
o Language in the draft scenarios was clarified and a discussion of

questions suggested that the same 3 questions be used with all

scenarios. Alyce will take all comments under advisement.

  • Index cards will be available and folks may be asked to write down one

    important point/takeaway from the meeting. Think about how the message

    is going to be brought back to your DLC.

  • How can AACII members help?

o Facilitate the discussion.
o Think about additional questions that can help the discussion (Alyce

can provide these.)
o Get someone to do feedback/report out. o Take notes at the table

• Survey will sent out after the breakfast and HR may think about adding a question or two specific to the topic.

o Chris Durham shared the survey used last year and suggestions were made, which will be incorporated.

Administrative Systems Steering Committee (ASSC) Robin Elices, Executive Director, Office of the EVPT

Robin shared some history of the committee, overview of membership and a list of projects with ASSC oversight (attached).

• One project to highlight is the Fiscal Officer user experience research that was done this past fall/winter. The project highlight 2 projects of importance to the FO group:

o Opportunities to significantly improve the current budget system & process

o Opportunities to greatly enhance the post award research administration process.

• Another finding was that FOs felt no sense of community. There are few, if any, opportunities for them to connect outside of the AO/FO meetings.

o Perhaps they could be considered as part of the AACII cohort

• Another major project for the ASSC group is looking at Data architecture including hierarchies and root causes behind the inability to get what’s expected linked to differing authorizations based on systems.

o Three pilot projects have been designed to provide keep learning about process, technology architecture and data governance to inform next steps. These are outlined in the attachment.

Council Business – Pia Handsom

  • Picking up on Robin’s report on the FO research, there is a precedent for SFOs on AACII and there was agreement among membership to include them in the call for nominations. This is a mentoring opportunity and a stepping- stone to the AO position.
  • Pia provided a draft nomination form and all agreed it makes sense to use it. It will help streamline the process and will help nominators provide appropriate information without too much back and forth. A few edits were made. Announcement will go out Monday or Tuesday to allow 4 weeks for response.
