Annual Networking Breakfast Planning

Venue:

  • Event scheduled for Thursday, May 2nd at the Koch Institute, Luria Auditorium.
  • Jack and Olympia met the space owner, Erica Burds and viewed the space.
  • The main issue is a single entry door near the speaker’s table, which can bring nearby noise from the closed Koch Café.
  • Need to have signage to direct attendees to the main gallery entry to minimize noise and disruptions.

Logistics:

  • Members of the logistics committee will sit at the registration table to help with attendee check-in.
  • Koch space only has rectangular tables and armed desk chairs, which are not ideal for table discussions.
  • Need to rent round tables and armless chairs.
  • Erica provided a list of caterers Koch has worked with and is familiar with the space.
  • Contact attempts have been made to Baker’s Best and Rebecca’s Café.  Awaiting their response.
  • Backup caterer option is Café Luna.
  • Food will need to be placed inside the space in the back.  Wall divider can be removed.
  • Space has a podium with 1 microphone, 1 wireless handheld microphone and 4 lapel microphones.  
  • Need to have an additional wireless handheld microphone for the moderators to do Q&A.
  • Presenters prefer to use their own laptop. 
  • May need an AV technican at the event.

Discussion Format and Time Management:

  • The total event duration is tight at 1.5 hours with 45 minutes for presentations, 30 minutes for table discussions and a brief opening and closing.
  • Adjustments to the table discussion duration and Q&A segments were proposed to better accommodate the event's needs.
  • Suggestions were made to use Slack for gathering questions in advance, with potential moderation by Gabe and Michael.
  • Alternative question method discussed was the moderators to go around the space and use the microphones to get audience's questions.  Simplify the process.

Speaker and Panel Details:

  • Speakers confirmed are Rama Ramakrishnan, Aude Oliva, Meghan McCollum Fenno and Stephanie Richardson.
  • Each speaker has been allocated 15 minutes to present.
  • Speakers will use their own laptops.
  • Concerns were raised about the adequacy of speaking time and the possibility of extending the event time to ensure comprehensive coverage of topics.

Discuss Possible Changes to AACII

  • Pause nominations of new members and have a discussion about possible changes to the council. 
  • Discuss the following items:  Responsibilities of the council, Benefits of the council, Changing the nomination process so that A-Deans would nominate new members and Changing the balance between central office and DLCI members.
  • Extra meeting will be scheduled for the week of May 6th.
